Booking Terms and Conditions

Langley Farm Cottages Booking Terms and Conditions

PLEASE READ THESE CONDITIONS CAREFULLY,

Definitions:
For the purpose of these terms of letting the “guest” shall mean the named person on the Booking Form and Langley Farm Cottages will be referred to as “we” or “us”

Duration and Times of Lettings:
Guests can occupy a reserved property from 1600 hours on the first day of the reservation.  Guests must ensure that they and any third parties who have been in occupation of a property as a result of a reservation leave prior to 1100 hours on the date of departure as indicated on the Booking Form. 

Reservation Procedure:
Guests can provisionally reserve the property for no longer than 48 hours (unless by agreement).  The booking will be confirmed once the Booking Form has been received and the deposit payment made.  The contract will only arise when the deposit has been paid and we have confirmed the booking in writing via email.

Payment Procedure:
For reservations made more than 8 weeks prior to the commencement date, a booking fee of 30% of the total amount due must be sent with the completed booking form.  The balance of the full amount and any additional charges are due 8 weeks before the commencement date. 

For a reservation made less than 8 weeks before the commencement date, the total amount will be due together with any additional charges.  In the event that we do not accept a guest’s reservation, all monies paid will be refunded immediately. 

Payments may be made via Bank Transfer, Debit or Credit Card.  Any charges raised against Langley Farm Cottages by a guests bank for handling dishonoured bank charges or other payments, will be passed onto the guest. 

Cancellation:
All applicants are advised to take out personal holiday cancellation insurance. 
Any request to cancel a booking must be made to us by phone and confirmed in writing via email.  If we are able to re-let your booking, we will re-fund you the final letting price (less a £25 administration fee).  If we are unable to re-let there will be no refund under any circumstances, and you will still be responsible for the full rental cost.  

Changes:
An administration fee of £25 is charged for any changes to a booking.  Bookings may not be transferred within one month of the visitor’s stay or from one year to another.  If the transfer also involves reducing the length of stay e.g. – from two weeks to one week, it will be regarded as a cancellation and we are not liable to refund any monies paid.

Guests Obligations:
The guest agrees to: 

    1. To pay for any losses or damages to the property or its fixtures, fittings or decor, howsoever caused (reasonable wear and tear excluded); Any losses or damages will be invoiced to you upon inspection after departure, and payment will be due immediately.
    2. To take good care of the property and leave it in a clean and tidy condition at the end of the tenancy (extra cleaning can be charged);
    3. Not to smoke at the property;
    4. Not to cook anywhere on the property other than in designated kitchen and BBQ areas; and
    5. Not to bring any pets to the property unless previously agreed in writing with the Owner

Damage Deposit: 
A damage deposit may be required (depending on length of stay) at the time of making final payment, before your arrival at your accommodation. This amount is fully refundable (no later than 7 days after guests departure) providing the property is left clean and tidy, that there have been no breakages, extra cleaning required, or any extra people found to be staying at the property.  

In the event of any damages notified during the stay or identified during the inventory check following departure, we shall retain all or any part of the security deposit to cover the cost of repair or replacement.

Authority to Sign / Miscellaneous:
The Guest acknowledges that he/she/they are authorised to sign the Booking Form on behalf of all persons who will occupy the property throughout the duration of the reservation and that those persons are aware of the terms of these conditions. 

The Guests shall be a member of the party occupying the property and hereby agrees to the following: 

  1. The property details state the maximum number of persons permitted to occupy the property and grounds at any time.  We can supply some baby/toddler equipment free of charge if available (for instance, a travel cot)
  2. Sleeping in tents or motor vehicles onsite is not permitted.
  3. No smoking is permitted with in the property;
  4. You must not cause a nuisance or disturbance to neighbouring guests or behave in an unreasonable way. The playing of music or making a noise which is clearly audible in a nearby accommodation is not permitted after 11.00 pm and before 9am

In the event of breach of these conditions, we reserve the right to insist on the the guest and their party to vacate immediately, without recourse to compensation.

Restricted Mobility:

Where the access to layout or other physical features may be reasonably foreseen to cause difficulties to individuals with restricted mobility, we have endeavoured to ensure that the information provided was explained clearly.

Guests are required to inform us at the time of booking of any third party mobility issues that we should be aware of.

Please note that we do not accept any responsibility for the provision of equipment, or any form of care required by any person due to any form of disability or restricted mobility regardless of the cause. 

Non-Availability of Property (Acts of God):
Acts of God means any unforeseeable event that is beyond the control of Langley Farm Cottages and shall include, but not be limited to; war, natural or nuclear disaster, fire, flood, epidemics or terrorist activity, we are not liable to provide a refund and recommend you have appropriate Holiday Insurance to cover this possibility.

If the cottages booked becomes unavailable or unusable for some circumstance prior to the date of arrival we will immediately notify the guests and offer an alternative cottage.  Or, in the event that one is not available, shall reimburse the guest with any monies paid.   

Liability:
We shall not be liable for loss or damage of guests belongings or for injury sustained during your stay at our cottages.  Any found lost property will be returned to the guests at their expense. 

Any vehicle(s) of the guests or any third-party making use of the property during the period of the guest’s reservation is left at the property entirely at the risk of the owner of the vehicle.
